Events Manager - Event Planner

Trump Turnberry is looking for an experienced luxury Event Planner to join our team.

Immersed in over 100 years of history and heritage, our Event planning team plan and co-ordinate events held in function spaces with the perfect backdrop of breathtaking views of Ayrshire’s inspiring coastline.

POSITION PURPOSE

To effectively assist in leading the Event planning team to intricately arrange all Resort events and off-site functions which include but are not limited to corporate conferences, weddings, corporate golf days, incentives and social events. To ensure that professional, efficient, friendly, detailed, and timely service is provided to all internal and external clients and guests. Maximise revenues by ensuring the department is effectively cataloguing, forecasting, planning, co-ordinating, billing, and analysing all detail, together with up-selling resort products and services to enhance the initial group booking completed by the Sales Team.


ESSENTIAL FUNCTIONS

  • To effectively co-ordinate all group and wedding business, working on own dedicated events and supporting the team with their assigned events - liaise with the sales and group sales departments after they convert a piece of business and ensure the efficient transition for each contracted event taking place. Manage clients through the planning stages, take responsibility for all payment deadlines, present detailed documentation to support the operational departments with execution and ensure final invoice payment is collected and liaise with the Sales Team to secure future events prior to departure.
  • Be responsible for events team system accuracy including but not limited to client contact details; group accommodation, banqueting and golf/spa/leisure forecasting; bedroom room type balancing; rate code building and modifying; business block notes and activities; event resource and item management. Champion processes to support these critical measures and analyse and account for all revenue discrepancies associated with them.
  • To ensure that all Event summaries and banqueting event orders produced by the department are done so with a high level of accuracy, signed off by the client, and distributed internally in accordance with company timelines.
  • Produce daily accurate invoice details for Events, review and achieve sign-off with client, present final folio on departure and be responsible for securing all payments within company timelines.
  • Take responsibility for ensuring the department yields critically high levels of attention to detail in all tasks, processes and system maintenance performed.
  • Continuously train and develop all team members, ensure accurate training records and created and kept up to date, produce detailed and precise Standard Operating Procedures (SOP's) and Risk Assessments for all processes and update these on a regular basis as required.
  • Steer the team to ensure that they perform to the desired standards at all times.
  • Project a pleasant, positive, professional and well-groomed image at all times. Lead by example.

CANDIDATE SPECIFICATION

  • Experience at a supervisory level in a luxury hotel event planning role is essential. Bachelor's degree would be preferred and qualification in Events Management/Hospitality would be an asset.
  • Must be able to communicate freely and eloquently in both written and spoken English.
  • A proactive, self-starter who is able to work within a team as well as individually.
  • Excellent time management & organisational skills are essential.
  • Must possess well-developed computer skills and enjoy a substantial amount of office based computer work
  • Extreme attention to detail and ability to multi-task in a fast paced environment are essential together with a passion for events and desire for continual department performance improvement.
  • Must be able to work shifts, weekends, holidays and adhere to our immaculate grooming policy and strict uniform standards.
  • Must be eligible to live and work within the UK
