Where and when do we need you?

We are looking for an approachable and professional individual to join our dedicated Quality and Governance department. As part of this team, you will provide compliance oversight for all third parties engaging with Fair Ways, by co-ordinating the management of all contracts and contractors, to ensure legislative and best practice policy is adhered to and consistent high standards are maintained. You will be a clear and confident communicator with the ability to effectively manage end to end processes to successful completion.

In this role you will be involved exciting and rewarding things like:

  • Ensuring safe and compliant 3rd party engagement - Developing and maintaining the central files and register for all third party contracts and contractors engaged with Fair Ways.
  • Demonstrating excellent attention to detail and accuracy – Liaising with Human Resources, Finance, Health & Safety and relevant operational departments to ensure all due diligence processes are followed when engaging with any new third parties, that potential conflicts of interests are proactively monitored and that stipulated policy compliance and legislation is adhered to.
  • Being a clear and confident communicator - Providing guidance and advice to internal managers about the process for engaging with third parties and supporting in the administration aspects of contract negotiations, by producing service level agreements and ensuring payment and fee schedules are clearly stated and agreed by both parties.
  • Working together to achieve consistently high standards - Understanding and monitoring key dates within each individual contract to ensure notice periods, renewal dates, tender submission dates, fee amendment dates, payment dates, exit dates etc. are highlighted to the relevant internal stakeholders and support them to action these.
  • Working together to achieve consistently high standards - Ensuring that third parties are delivering services in line with agreed terms and conditions and liaising with relevant internal stakeholders and gaining legal advice when necessary to recommend appropriate action when standards are not meeting expectations.
  • Demonstrating flexibility and resilience - Managing a changeable and varied workload effectively through excellent time management and forward thinking ensuring that all tasks are fulfilled by required deadlines and that any obstacles are dealt with in a calm, positive and supportive manor.

The successful candidate will be working 22.5 hours per week, ideally Tuesday, Wednesday, Thursday (can be flexible), with a minimum of 1 day per week based at our central support office in Portsmouth.

All candidates must have a full driving license and have access to the use of a car. Successful candidates will be required to provide an enhanced Disclosure (DBS). This disclosure cost will be met by Fair Ways.

  • To have proven high-level administration and co-ordination experience, ideally with knowledge of contract administration and service level agreements.
  • To be proficient in Microsoft Office applications, keeping accurate records and maintaining large databases.
